How to Choose a Component Content Management System

A component content management system (CCMS) is the infrastructure that makes structured authoring scalable. It manages topics, maps, metadata, and publishing workflows — and it is a significant, long-term investment. Choosing the wrong CCMS is expensive to fix.

What a CCMS does

A CCMS manages content at the component level — individual topics, images, and reusable fragments — rather than at the document level. It provides version control, workflow management, reuse tracking, and publishing integration. Leading DITA-native platforms include Ixiasoft DITA CMS, Astoria, RWS Tridion Docs, and Vasont.

DITA compliance and standards support

If you are using DITA XML, the CCMS must provide full DITA support — including specialisation, conref, keyref, and conditional processing. Verify that the system supports your specific DITA version and any specialisations you use or plan to use.

Authoring tool integration

Most technical authors use oXygen XML Author as their authoring tool. Verify that the CCMS integrates cleanly with oXygen — ideally through a native connector rather than a generic WebDAV interface. Poor authoring tool integration is one of the most common sources of author frustration.

Publishing pipeline

Evaluate how the CCMS integrates with your publishing pipeline. Does it support DITA-OT natively? Can you customise the publishing configuration? How are outputs triggered — manually, on schedule, or via API?

Common pitfalls in CCMS selection

Selecting on features rather than fit, underestimating the migration effort, and ignoring total cost of ownership are the three most common CCMS selection mistakes. Insist on proof-of-concept testing with your own content and your own authors before making a decision.

The selection process

Start with a requirements workshop that captures your functional requirements, integration requirements, and constraints. Use these requirements to create a scoring framework. Issue an RFI to shortlisted vendors, evaluate responses, and conduct proof-of-concept testing with your top candidates.

Choosing a CCMS is a strategic decision that will shape your documentation capability for years. The investment in a rigorous selection process pays back many times over in avoided implementation problems and better long-term fit.
